Reviewed Veeva Vault documents/reviews stuck
Who is this article for?
Veeva Vault Users facing issues with documents stuck in incorrect statuses or incomplete reviews.
Server Access is needed to investigate certain issues.
This article explains why vault documents may get stuck In Please Review and why Please Review reviews created within Veeva Vault might not display the Finish Please Review button.
1. Editing documents in native Please Review
Reviews started in Veeva Vault should not be edited in native Please Review to avoid affecting documents in the review. This includes:
- Adding documents
- Removing documents
- Reordering documents — setting the first document can break the Please Review tab in Veeva Vault. Restoring a Veeva Vault document as first usually fixes this.
- Checking in documents
If the review began in Veeva Vault, updates must be made via the Please Review tab there. Changes outside this are unsupported and may cause issues.
2. Editing the participants on the review
The way to edit the participants on a vault-centric review is documented here: Updating participants on a Veeva-centric review
Anything done outside of this also risks breaking things as far as the PR <> VV integration so that you get documents/reviews stuck
3. Transferring ownership of the review
The following articles explain how to transfer ownership of a VV-centric review. You need Please Review v8.0 or later and the One-Workflow system in VV, introduced as an optional upgrade in earlier PR versions.
- Requesting ownership transfer for a review
- Accepting a transfer ownership request
- Withdrawing a transfer ownership request
- Transferring a review from Veeva Vault to a new owner after the original owner leaves
Doing anything else risks breaking the Veeva Vault integration, causing documents or reviews to get stuck.
4. Changes on Veeva Vault
Certain actions like checking in a new document version, cancelling check out, or restricting the review owner's edit rights can break the integration and cause documents/reviews to get stuck.
5. Cancelling the workflow
If the review owner cancels the active workflow, the Finish Please Review button may disappear. Other changes can also trigger cancellation. A yellow triangle will appear next to the review to indicate this.
6. What to do
For stuck documents/reviews, cancel workflows in VV and close PR reviews manually. Download the document with comments, then check it back into VV manually.
