Getting Started with Importing PDF Annotations

Importing PDF annotations is a process that enables you to upload annotated PDFs directly to the platform, preserving all comments, highlights, and markups. This feature simplifies collaboration by seamlessly integrating externally made annotations into your Please Review environment, streamlining the review process.

Importing PDF Annotations
- For any review containing a PDF document, the Review Control Panel will display the ‘Import PDF Annotations’ link:
- The ‘Import PDF Annotations’ screen will open, displaying a list of PDF documents available to import annotations to:
- Select the relevant PDF file to import annotations to using the radio buttons.
- A comment category can be assigned to the annotations using the drop-down list. The comment category will apply to all annotations being imported.
- If required, the comment category can be edited manually in the review once imported.
- Use the ‘Choose file’ button to browse for the PDF containing the annotations to be imported and click ‘Upload’.
- Once uploaded, confirmation is displayed along with details of any substituted or failed imports:
Note: Once the annotations have been imported into Please Review, the action cannot be undone. If any annotations have been imported in error; they can be manually deleted in the review.
Importing Redaction Marks
If redaction marks have been applied in a PDF (burnt), they will not be imported into Please Review. Only items marked for redaction will be imported.
Substituted Imports
When PDF annotations are imported, Please Review will convert the annotations into the nearest Please Review equivalent.
The following annotation tools are not supported in Please Review and will automatically be substituted with a sticky note:
- Underline
- Text Comment
- Text Box
- Stamping
- Attach File
- Record Audio
- Text Callout
- Polygon
- Cloud
Review Owner Notes
Note: When creating a new review containing PDF documents with existing annotations, the annotations will be visible in the document, however they will not be included as Please Review comments and proposed changes.
To include the PDF annotations in the review as Please Review comments and proposed changes, the review Owner should first upload the original PDF without annotations when creating the review. After starting the review, the annotations should be imported.
- To delete all annotations in one action within Adobe, open the 'Comments' panel.
- Select all annotations by holding down the Shift key and selecting the first and last annotation.
- Right click anywhere on the selected annotations and select ‘Delete’.
