Configuring Email and User category settings
Who is this article for?
Administrators using the email or user category settings.
IT access will be required to implement these changes.
The 'User' category in Please Review allows administrators to manage individual user accounts, permissions, and access levels within the platform, ensuring that each user has the appropriate privileges for their role. This category is essential for maintaining security, control, and user-specific settings to optimize the document review and collaboration experience in Please Review.
Important: From version 8.4 onwards, Please Review no longer supports Documentum D2 or CARA.
1. User Category Settings
Settings in this category affect the review experience rather than the functionality itself. They are selected based on the user’s home workgroup; not the workgroup the review is in.
These settings become the default for new users added to the system; that is to say, changing one of these settings will not change the actual settings for all corresponding existing users in the system.
Important: These settings cannot be attached to a review type.
| Configuration Name | Default Value | Default Override | Notes | Workgroup |
|---|---|---|---|---|
| Auto-refresh | 60 | Auto refresh interval in second(s). Note that the user’s personal value for auto-refresh (set on the user settings screen) cannot be smaller than the value inherited from the configuration settings. | ||
| Comment location | Popup | Location of the comment panel/window. | ||
| Comment window size | 555 | Comment panel/window size (in pixels). If the user resizes the window, the new size is saved for that user | ||
| Daily Digest | DENY | Sends user an email every day with a summary of all reviews they are participating in | ||
| Default navigation | Contents | Default navigation option in review window. | ||
| Default View | Normal View | Default view when entering review. | ||
| Display headers/footers | True | Controls whether headers and footers are displayed for Word documents (does not apply to classic interface) | ||
| Give Reason | Always | Give reason when accepting/closing comments (authors only)? | ||
| Highlight paragraph | FALSE | Indicate paragraphs that have comments or changes in the review by highlighting rather than using icons. | ||

| PDF Review Type | Default | Selects how users review PDF files. This relates to which review interface is presented. More information can be found in section 0 | ||
| Show page border | TRUE | Show page borders in the review for Word documents to make it look more like page layout view. | ||
| Show tracked changes in review | Show open changes as tracked | Controls how tracked changes are shown in the review. | ||
| Use Classic interface | FALSE | Uses the classic interface for Word documents. NOTE that this option is deprecated from v6.4 onwards. More information can be found in section 9.4.1 |
2. Email Templates Category Settings
This category can be used to override specific email templates based on workgroup or review type. These work slightly differently to other config settings in that the value specified in the configuration must correspond to the name of an XSL file installed in the Please Review Email Templates folder.
For example, if you have a review type called ‘proposal’ and wanted to use a different Invitation email for this review type, you would:
- Create an email template called ProposalInvitation.xsl in the email templates folder on the server.
- Override the ‘Invitation’ setting for the ‘Proposal’ review type and set the value to ‘Proposal Invitation’ (the template name without the ‘.xsl’).
