Getting started with adding and importing users

System Administrators can configure administration options.
Managing users in Please Review is a straightforward process. Firstly, you can add users individually through the user management section, where you can input user details and specify their permissions, allowing for precise control over each user's access and role. Additionally, for scenarios involving multiple users, Please Review provides the option to import user information from a CSV file. This bulk import feature simplifies the process, saving time and ensuring data accuracy when dealing with a larger user base.

1. Adding users to Please Review
- Sign into Please Review using the System Administrator login details.
- Click the Admin tab in the top left hand side of the home screen, then select the Users link on the left-hand menu.
- In the user administration screen, select Add new user:
- The Add User screen is displayed. Enter the user’s details and select their workgroup role from the drop down list:
- Finally, click OK to create the new user.
Note: If the Don’t send a welcome email checkbox is selected, the user will not receive the automated email.
2. Importing native users
- Complete the Please Review import users CSV file provided by Ideagen.
- You only need to complete columns: A,B,C and E.
- The completed csv file can now be imported into Please Review.
- Sign into Please Review using the System Administrator login details.
- Select the Admin tab in the top left hand side of the home screen, then select Members as shown below:
- In the User Management screen, select Import Users:
- Select Browse and locate the completed csv file.
- Finally, select Upload to upload the users listed in the csv into Please Review:
- Once uploaded, email notifications will be sent automatically to the users, and you will see the results of the import at the bottom of the screen.
3. System administrator status
The System Administrator can access any workgroup for system administration, regardless of membership. They hold all rights of a workgroup administrator across all workgroups.
- Depending on system settings, the System Administrator can view any review in read-only mode, even if not a participant, typically for troubleshooting.
- Search results will include all reviews from all workgroups.
- Generally, the System Administrator does not use a user license. However, if they participate in or own a review, they must join a workgroup and will then occupy a license like other users.
- PR installations come with a built-in System Administrator. Other users can be upgraded to this role, but it requires a database change. It's advisable to limit the number of SYSADMIN roles for security. Support can assist, but requests should come from an existing System Administrator or be authorised by your account manager.
