Getting Started with Content Controls

Content controls are commonly used in Microsoft Word templates, forms, and documents, including check boxes, text boxes, date pickers, and drop-down lists. Content controls are individual fields that you can add to and customise for use in templates and reviews.

General Behaviours
- In a standard review of a Microsoft Word document containing content controls, the display and behaviour of the content controls in Please Review will depend on the type of content control used and its properties/restrictions.
- In general, all content controls are restricted in that they cannot be deleted in Please Review and any content controls marked as read-only cannot be edited.
- A warning message notifies the user that the paragraph is read-only:
- Content controls which are not marked as read-only can be edited in Please Review.
- This is based on the properties of the content control in Microsoft Word (i.e. using the ‘control cannot be edited’ setting).
- In the inline editor, controls marked as read-only in Microsoft Word display with grey shading and editable controls display with blue shading:
Text Controls (Plain Text, Rich Text, Repeating Section)
- Text controls which are unlocked in Microsoft Word are fully editable in Please Review in that comments can be added and proposed changes made to the content of the control.
- All text controls cannot be deleted in Please Review.
- Text controls which are locked in Microsoft Word are read-only in Please Review and a warning message notifies the user that the paragraph is read-only.
- Where Rich Text and Plain Text controls are placed within a sentence/paragraph of standard text, a comment can be applied to the control in Please Review.
List Controls (Drop-Down List, Combo Box)
- List controls which are unlocked in Microsoft Word will allow comments to be added in Please Review.
- They do not allow proposed changes to be made to the control. In Please Review, the content of list controls can be viewed by hovering your mouse over the control whereby a tool tip will display the content of the list.
- All list controls cannot be deleted in Please Review.
- Drop-Down List controls which are locked in Microsoft Word are read-only in Please Review and a warning message notifies the user that the paragraph is read-only.
- Where drop-down list controls are placed within a sentence/paragraph of standard text, a comment can be applied to the control in Please Review.
- Combo Box controls which are locked in Microsoft Word are comment only in Please Review.
Selection Controls (Building Block, Check Box, Date Picker)
- Selection controls which are unlocked in Microsoft Word will allow comments to be added in Please Review.
- They do not allow proposed changes to be made to the control.
- All selection controls cannot be deleted in Please Review.
- Building Block and Date Picker controls which are locked in Microsoft Word are read-only in Please Review and a warning message notifies the user that the paragraph is read-only.
- Where Building Block and Date Picker controls are placed within a sentence/paragraph of standard text, a comment can be applied to the control in Please Review.
- Check Box controls which are locked in Microsoft Word are comment only in Please Review.
Picture Controls
- Picture controls which are unlocked in Microsoft Word will allow comments to be added in Please Review.
- They do not allow proposed changes to be made to the control.
- All picture controls cannot be deleted in Please Review.
- Picture controls which are locked in Microsoft Word are read-only in Please Review and a warning message notifies the user that the paragraph is read-only.
- Where picture controls are placed within a sentence/paragraph of standard text, a comment can be applied to the control in Please Review.
Transcelerate Templates
- The technology enabled templates available from Transcelerate use several content controls to manage the content of the document.
- When a content control appears multiple times within the document, the content control will be read-only regardless of the content control properties.
- A warning message notifies the user that comments and changes cannot be made as the control is repeated in the document:
