1. Upload Documents
You can upload your documents in two ways:
- By dragging documents or folders to the framed box.
- Click the box to browse for documents/folders.
Both methods allow multiple documents to be uploaded at the same time. Once uploaded, the title displayed for each document is the filename.
2. Uploading Documents with Different Formatting
Below is a table that links articles which explain how to upload documents with different formats:
| Uploading Documents with Different Formats | Link |
|---|---|
| Document comparison between Microsoft Word documents in the same review. | Document Comparison and Review Linking |
| Contains Microsoft Word comments, tracked changes or moves. | Uploading a Documents with Tracked Changes and Citations |
| Contains citations. | Uploading a Documents with Tracked Changes and Citations |
| Microsoft Word document contains content controls. | Uploading a Document with Content Controls |
| Microsoft Word document is a Transcelerate template. | Uploading Transcelerate Templates |
| PDF file contains existing PDF annotations. | Uploading a Documents with Tracked Changes and Citations |
To re-order documents in the review simply drag and drop them in the list. The document type can be changed using the ‘Type’ drop-down box.
There are three options for the document type:
| Document Type | Description |
|---|---|
| Review (default) | The document is available for commenting. |
| Reference | The document is available for reference purposes only and cannot be commented on. The 'reference only' status is indicated on the screen when in the review. |
| Feedback (if available) | If enabled by system configuration settings, the document is available for participants to provide overall feedback on the document(s) under review and rate specified items. The 'feedback document' status is indicated on the screen when in the review. For more information see Feedback Documents. |
Note: For documents from an external source, the 'Allow Document Type Change' configuration can be set. If set to 'Permit', the user can change the document type at the ‘Upload Documents’ screen.
3. Multiple File Uploads
Folders and zip files can be used to upload multiple files and to create image collections. Folders and zip files are processed as follows:
- Each folder containing images is treated as an ‘Image Collection’ (see Image Collections);
- Each non-image file is added to the review as a separate document. The document title is the filename;
- Files are added in folder/zip file order. This is normally in alphabetic order of the full path (not the filename);
- Zip files are not processed recursively (i.e. if you put a zip file in a zip file, the inner one will be added to the review as if it were a document, not processed as if it were a zip file).
4. Uploading Multiple Reference Documents
To upload multiple reference documents quickly and easily in a review, the ‘Upload as reference documents’ check box can be used. The ‘Upload as reference documents’ check box enables multiple files to be uploaded as reference documents and removes the need to change the file type for each individual document. This option is located within the ‘Advanced Options’ link at the bottom of the screen.
5. Image Collections
For each folder containing images, the images are grouped together and added to the review as a single image collection. The document title is the folder name or, if the images are in the top level, the same as the zip file name.
An image collection displays the images together for review as if they were a single document within Please Review. A table of contents is shown when reviewing an image collection, listing the names of the files as they were in the original zip file. Layout mode displays an image at a time.
- The only way to add an image collection to a review is with the zip file upload.
- If the zip file has two folders of the same name both containing images, these will be merged into a single image list.
- In the review, all images are shown full size.
6. Advanced Options
The ‘Advanced Options’ link at the bottom of the screen allows three options:
| Advanced Option | Description |
|---|---|
| Use advanced document preparation for Word documents | This may fix timeout problems with large or complex Word documents. It is recommended this option is checked only if the document preparation has previously failed. |
| Treat files as plain text | All unrecognized file types are added to the review as plain text. |
| Upload as reference documents | All documents added while this option is checked will be added as reference documents. |
7. Uploading an Unrecognised File Type
Note: If the file extension of the file is not recognised, or there isn’t one, the file will be handled as an unrecognised file type.
When entering the review participants are presented with a link to view the file and can use the general comment feature only within Please Review. Alternatively, selecting the ‘Treat files as plain text’ checkbox in Advanced Options will present the file as plain text. This option is more useful for text-based formats.
