Create an Unlocked Workgroup
- To create a new unlocked workgroup, click on ‘Workgroup Management’ under ‘System’ on the left-hand menu.
- At the workgroup management screen click ‘Add New’.
- A new dialogue will display where you can choose to create a locked or unlocked workgroup.
- Choose unlocked if you wish to manually synchronize the users within the workgroup, or locked if you wish the synchronization to be done for you.
- When creating a locked workgroup, it is not possible to select which group members are copied into Please Review from the external system.
- For this example, choose ‘Unlocked workgroup’. The ‘new workgroup’ screen will be displayed:
- If the ‘All monitors’ checkbox is selected it means that all workgroup members are automatically assigned a monitor role. See All Monitor Workgroups for more information.
- Click on ‘Save’ to create the workgroup. If the workgroup name already exists, then the user will be warned and cannot proceed until a different name is entered.
Editing Users in an Unlocked Workgroup
You can either edit a user from the ‘users’ option or from the ‘workgroup management’ option.
- Click on ‘Users’ under ‘Admin’ on the left-hand menu. The ‘user administration’ screen will be
displayed. Enter appropriate search criteria to locate the required user then click ‘Find’:
- Select the required user to be taken to the ‘edit user details’ screen. Alternatively, click on ‘workgroup management’ under ‘admin’ on the left-hand menu.
- Then click ‘Members’ against the required workgroup. All members of the workgroup will be listed:
Here are a few things to note about a locked workgroup:
- There will be an ‘Edit’ and ‘Remove’ option for each user.
- There will be ‘Add User’ and ‘Import User’ buttons available.
- To edit a user, click on ‘Edit’ to the right and the ‘edit user details’ screen will be displayed:
- Change the role, default workgroup or user type as required.
- To add an additional source for the user, click on ‘Edit’ next to the ‘Login name’, a pop-up authentication window displays:
- Click ‘Add user from another source’, all available login sources will be shown in the drop-down list:
- If you create a native Please Review account for the user, you will be able to assign a password.
- If more than one source authenticates the user, this will be displayed to the right of the login name:
Editing an Unlocked Workgroup
- To edit an unlocked workgroup, click on ‘workgroup management’ under ‘admin’ on the left-hand menu. At the ‘workgroup management’ screen click ‘Edit’ against the workgroup.
- The ‘editing workgroup’ screen will be displayed:
Note: you cannot lock an unlocked workgroup.
