How to Edit Locked Workgroups

Editing locked workgroups typically requires administrative privileges or permissions to make changes, ensuring data integrity and security within collaborative environments. Users without the necessary access rights will be restricted from modifying content in these protected workgroups.
Editing Users in a Locked Workgroup
You can either edit a user from the ‘users’ menu option or from the ‘workgroup management’ option.
Note: Editing a user within a locked workgroup is more limited than in an unlocked workgroup.
- Click on ‘Users’ under ‘Admin’ on the left-hand menu.
- The ‘user administration’ screen will be displayed. Enter appropriate search criteria to locate the required user then click ‘Find’:
- Select the required user to be taken to the ‘edit user details’ screen.
- Alternatively, click on ‘workgroup management’ under ‘admin’ on the left-hand menu.
- Then click ‘Members’ against the required workgroup. All members of the workgroup will be listed:
For each user there will be an ‘Edit’ option but no ‘Delete’ option and there will be no ‘Add User’ or ‘Import User’ buttons available. The ‘Sync’ button will update the membership list of the workgroup in Please Review with that of the group in the third-party system. If this is a large group, then this may take some time.
Note: This does not run a full system synchronisation – it will only update the membership of the group selected.
- To edit a user, click on ‘Edit’ to the right and the ‘Edit User Details’ screen will be displayed:
- Change the role, default workgroup or user type as required. To add an additional authentication source for the user, click on ‘Edit’ next to the ‘Login name’, a pop-up authentication window will be displayed:
- Click ‘Add user from another source’, all available login sources will be shown in the drop down list:
- If you create a native Please Review account for the user, you will be able to assign a password.
- If more than one source authenticates the user, this will be displayed to the right of the login name:
Editing a Locked Workgroup
- To edit a locked workgroup, click on ‘workgroup management’ under ‘admin’ on the left-hand menu.
- At the ‘workgroup management’ screen click ‘Edit’ against the workgroup.
- The ‘editing workgroup’ screen will be displayed:
Note: It's possible to change the workgroup from locked to unlocked but this action is not reversible. This should not be changed for an integration that is dependent on the workgroup in question being locked.
