How to Configure Sub-licensing

Workgroup Administrators can edit master licenses.
Sub-licenses enable a single Please Review license key (known as the ‘master’) to be allocated in chunks to
discrete user groups within the organisation. A sub-license may be attached to any workgroup and will apply to all users with these settings.
Important: Please Review also supports a concept of multiple ‘master’ licenses. However, this is not covered by this guide and should only be used under explicit guidance of Ideagen.
Sub-licensing:
Sub-licenses allow you to break your master license down into smaller denominations. This can be used to allow you to allocate a certain number of licenses from your master license and dedicate them to a certain workgroup. When managed and understood correctly this can provide you with greater control over how your system uses licenses.
How Sub-licensing Works
You can create a sub-license for any workgroup under the master license. This means you can tailor the number of licenses each workgroup may need depending on the project(s) that you are currently using Please Review for.
Important: If the master license has the features ‘Tablet Module’, ‘Delegation’, ‘Managerial Delegation’ or ‘Archiving’ enabled, you can disable the corresponding feature in the sub-license if required. However, if the master license does not have these features enabled, you cannot enable the corresponding feature in the sub- license.
When a sub-license is created it is assigned a workgroup, this means that anyone who has that workgroup as their 'Home Workgroup' will take their licenses from the sub-license, which is taken from the master license.
Note: It does not matter which workgroup the review they're invited to is, they will always be allocated a license from the allowance of their 'Home Workgroup'.
Creating a Sub-license
- Open the 'Admin' tab of Please Review
- Click 'Select' next to the workgroup you'd like to create a sub-license for.
3. Then, click the 'License' button.
4. Press the 'Create Sub-License' button.
5. Customise the allocation to suit your needs.
6. Click 'Save' once you've finished.
Here are a few things to note about sub-licensing:
- Typically, both the master license and the sub-license will have no end date. You can add an end date to the sub-license and after that date the sub-license will become inactive, and users allocated to it will no longer be able to log in.
Note: If the master license has an end date, you cannot set the sub-license end date later than the master.
- It is possible to automatically delete the sub-license plus all data associated with it (including all reviews) a certain number of days after the license expires. To do this, fill in the number of days after license expiry that the purge should happen, otherwise leave the purge period blank.
- If the master license is a full (non-evaluation) license, it is possible to make the sub-license an evaluation license by adding an evaluation message.
- In the limit's fields, enter the number of license seats of each type to allocate to the sub-license.
Note: The license seats allocated to the sub-license are still deducted from the master license, even though they are marked as an evaluation.
