This transition is essential to keep your environment supported, secure and compatible with everything coming next in the Ideagen ecosystem. We're modernizing our infrastructure to give you better security, faster performance and seamless access across all your Ideagen solutions. This upgrade eliminates the friction of managing multiple logins and support portals, while preparing your organization for future capabilities including AI-powered features.
Through Hub, you'll gain immediate access to Ideagen Regulatory Intelligence - helping you stay ahead of compliance requirements across 90+ jurisdictions.
Hub is our new resilient cloud services framework that will become the foundation for all Ideagen solutions - this is a required upgrade for all customers.
When will my migration happen?
Migrations begin in February 2026 and continue through the end of FY26. We will send you notification of when you migration is due to take place. Please respond immediately to secure your preferred slot. Migration slots fill quickly, and early response means you get the timing that works best for your team.
What is Ideagen Hub?
Ideagen Hub is your command center for operational excellence - one secure platform that unifies access to all your Ideagen solutions, integrates Luminate customer support and positions you for future AI capabilities. Think of it as your gateway to everything Ideagen, designed to simplify how you and your team work.
Will it be during business hours or outside business hours?
This will be determined in consultation with your Customer Success Manager when scheduling your migration. We'll work with you to find a time that best suits your operational needs.
Is my organization included in this migration?
This migration applies to all web application customers. You'll migrate if you:
- Use the Ideagen Please Review web application
- Don't have Viva Vault, Documentum or Ca integrations
Note: On-premise installations and validated systems follow separate timelines. If you're unsure whether this applies to you, your account manager can confirm.
Preparing for migration
What do I need to do before migration?
Version requirement: Your Ideagen Please Review instance must be on version 8.4.0. If you're on an earlier version, we'll upgrade you to 8.4.0 as part of the migration process. This is a two-stage process: first upgrading to 8.4.0, then migrating to Hub.
Username review: Hub requires email addresses for login. If your team currently uses usernames that aren't email addresses, we'll work with you during the migration process to ensure a smooth transition.
Will I need to reset my password?
Yes, you'll receive a welcome email directly from Ideagen Hub and then when you first login you will be asked to reset your password. We understand, for cybersecurity purposes that most people act with caution when asked to change their login details through fear that this is a phishing email. We'll share with you exactly what this communication will look like closer to the time so that you can verify it's a genuine Ideagen email. However, if in doubt, access your product by your usual means and you'll be directed to change your password from there.
I have lost/can't find my login email, what should I do?
That's okay, speak to your admin, they should be able to resend it. Or visit our Hub help pages.
Is there any downtime during the migration?
Your migration will be scheduled in advance to minimize disruption to your team. Specific downtime requirements will be communicated as part of your migration scheduling. We've designed this migration to be as seamless as possible.

All user accounts automatically migrate to Hub - you don't need to manually recreate users or reassign permissions. Your team's roles, permissions and preferences in Ideagen Please Review remain exactly as they are today. Your data and workflows are protected every step of the way.
After migration: What changes
How will logging in work after migration?
You'll receive a new Ideagen Hub URL where your team will log in. Here's what happens:
- Navigate to your Hub URL (or your existing Ideagen Please Review URL, which will redirect)
- Log in once at Hub
- Hub automatically launches Ideagen Please Review with full access
Your existing Ideagen Please Review bookmarks and links continue to work - they simply redirect through Hub for authentication.
Will my existing login links still work after migration?
Yes, your existing Ideagen Please Review links will continue to work. When you use them, you'll be directed through the Hub login screen and then redirected back to Ideagen Please Review.
How will the login process change?
The login screen will look slightly different - you'll see "Sign in using the Hub." You'll enter your credentials through the Hub login screen, then be authenticated and directed into Ideagen Please Review. Your existing credentials remain the same.
What will look different after migration?
Your login experience will look a little different as when you go to your Ideagen Please Review login page you will automatically be directed to log in via Ideagen Hub (see below). Hub will be your main access point moving forward. However, if you do go to your Ideagen Please Review login page, this will still work, but it will redirect you to login via the Hub before redirecting you back to Ideagen Please Review.
What if I use SSO (Okta, Azure AD, etc.)?
Great news - Hub makes SSO management even easier. You'll need to update your SSO provider configuration with your new Hub URL, but here's the benefit: you can now manage your own SSO certificates directly in Hub without raising support tickets. This means faster certificate renewals and no more waiting when certificates expire.
Hub provides frictionless and secure access via Single Sign-On across all your Ideagen solutions.
What's the new Hub URL I need to configure in my SSO provider?
Your specific Hub URL will be provided to you as part of your migration communication. Your implementation team will supply the exact URL needed for your SSO configuration. We recommend updating your bookmarks to use your new Hub URL as your primary access point.
What if I have multiple Ideagen products?
Even better. If you have both Ideagen Please Review and Ideagen Quality Management (or other Ideagen products), you'll migrate to Hub once and access everything with a single login. No more switching between systems or managing multiple passwords.

Your current processes remain the same, but you'll gain powerful new capabilities through Hub - providing unified access to all your Ideagen solutions, integrated Luminate support, access to Ideagen Regulatory Intelligence to stay ahead of regulatory changes across 90+ jurisdictions, and positioning you for future AI-powered capabilities. Hub is simply your new front door - once you're through it, Ideagen Please Review is exactly as you remember.
What happens to my data?
All your data stays in Ideagen Please Review exactly where it is. Nothing moves, nothing changes. Your document history, audit trails, review records and all content remain secure and accessible.
Will I lose any data during migration?
No, all your data remains secure in Ideagen Please Review throughout the migration process.
Will my workflows change?
No, your workflows in Ideagen Please Review remain exactly the same. The only change is how you log in to access the system.
Will product upgrades affect Hub?
No. Ideagen Please Review upgrades are completely independent of Hub. When we release new Ideagen Please Review features or updates, Hub continues working seamlessly. Similarly, Hub improvements don't require Ideagen Please Review changes. They're separate systems that work together through authentication only.
Do my bookmarks still work?
Yes, your Ideagen Please Review login page will still work but will redirect you to login via the Hub before redirecting you back to Ideagen Please Review. However, as Ideagen Hub will be your central access point for your solution moving forward we'd recommend you update your bookmarks.
What happens to my user preferences and settings in Ideagen Please Review?
Your user preferences and settings in Ideagen Please Review are not affected and remain exactly the same.
Will my browser remember my login, or will I need to log in again?
Not when you initially log in, as we need all users to reset their passwords when logging into the Hub for the first time. Your existing Ideagen Please Review password won't work.

How do I add new users after migration?
User management moves to Hub, which gives you centralized control across all your Ideagen products. To add a new user:
- Log into Hub
- Navigate to user management
- Add the user with their details
- Assign them to Ideagen Please Review
The user automatically appears in Ideagen Please Review - no separate setup required.
How do I remove or archive users?
Use Hub's user management to archive or remove users. Changes sync automatically to Ideagen Please Review, and if users have access to multiple Ideagen products, you manage their entire access from one place.
Can individual users update their own information?

No, the only thing admins might have to do is resend the 'Welcome to Ideagen Hub' email if some of your users did not receive it. This is the email that users need to log on first time with instructions to reset their passwords.
Are there any settings individual users need to do themselves to realize the full benefits?
Users can customize their settings in Ideagen Hub, including configuring your own quick actions. Visit the Ideagen Hub pages to learn more.
Can admins complete the setup on behalf of their users?

Validated systems follow a separate migration timeline. We're working with Compliance Path to ensure proper validation documentation. Your account manager will contact you when validated system migrations are scheduled.
We host Ideagen Please Review in our own cloud environment - does this affect us?
Self-hosted or on-premise installations are not included in this migration. Hub applies only to Ideagen-hosted web application customers.
