Configuring external integrations

This article addresses the integration of external systems. While Please Review inherently supports the download and acceptance of documents uploaded from a desktop, if permitted by the system, this functionality represents a basic level of compatibility. However, the focus here is on exploring how Please Review can integrate with systems to achieve a more seamless workflow.
Important: From version 8.4 onwards, Please Review no longer supports Documentum D2 or CARA.
1. Current Integrations
Current integrations are grouped as follows:
- Authentication: Users log in to PR via external systems like Active Directory, Azure, Okta, Ping, or other SAML2-based services.
- Multi-Factor Authentication (MFA) is possible if the external system supports it and is enforced for users with external login only.
- User Management: Enables user creation and role assignment in PR based on external group membership (e.g., Active Directory, SCIM).
- Document Management System (DMS): Allows checking out documents from external systems into PR for review, including Q-Pulse, Veeva Vault, Intelinotion, Documentum, MyQumas, and OpenText Content Server.
Note: DMS may also be called Enterprise Document Management or Electronic Document Management (EDM).
- DMS-centric: Reviews are initiated from the external system with PR accessed via embedded links, using workflows and tasks from the external system.
- PR-centric: Users log into PR to create reviews, pulling documents from the external system.
- DMS Front End: Additional frontend supporting DMS-centric integration, e.g., CARA with Documentum.
- Editing: Documents are sent to an external system for editing before returning to PR, e.g., OpenSpaces (SharePoint).
Note: MFA is not native to Please Review and requires integration with an authentication method that supports it, available via our platform integrations.
2. Ideagen Hub authentication
From v8.4, we introduced Ideagen Hub for hosted customers where possible. Hub now manages PR authentication integration, so admins configure authentication methods and assign them to users there. This also allows admins to renew SSL certificates directly, without contacting us.
3. Creating new Integrations
To discuss new integrations, contact your account manager for consideration by the product manager. An API SDK package can be purchased for custom integrations.
4. Other systems
Here are brief updates on some occasionally asked-about systems:
- SharePoint:
- DMS: The original integration sent documents between SharePoint and PR for review but was discontinued due to low usage. Contact your account manager if interested.
- Editing: Our OpenSpaces feature supports document editing within SharePoint, integrated with PR. See the "Getting Started with OpenSpace Reviews" guide or contact your account manager for details.
- Oracle Docs: Previously developed but discontinued due to low use. Contact your account manager to express interest in its revival.
- Google Docs: No current PR integration exists, though Google SAML2 authentication is available. For DMS or editing integration interest, please contact your account manager.
