How to Add Review Types
Who is this article for? Please Review Users using review types.
Review Administrators with permissions can perform an initial setup.
Please Review offers various review types, including Single Review, where a document is reviewed by a group of reviewers, and Collaborative Review, which allows multiple authors to contribute to a single document. These review types cater to different scenarios, optimising the review process for diverse collaboration needs. See Review Types for further information.
1. Adding Review Types
- To create a new Review Type, you must first use the workgroup management screen to select the workgroup where you want to place the Review Type.
- Click the ‘Review Types’ link at the bottom of the workgroup management screen. This shows a list of all currently defined Review Types.
- To create a new Review Type, click ‘Add New’.
- Otherwise, use the ‘Select’ link to select the parent Review Type from which this one should inherit (obviously you may navigate down several levels), click ‘Add New’.
If a parent Review Type has not been selected first, it can be selected at this point. Give the Review Type a name and description.
Tip: The Review Type description should be relevant and accurate. It is visible to end users and supports the selection of the correct Review Type when creating a new review.
Use the radio buttons to specify whether the Review Type is completely new or a copy of an existing Review Type. For example, to create a new Review Type with just minor differences to an existing one, you can copy the existing Review Type and simply modify the configuration settings to apply the minor differences in behaviour.
- Finally, select the desired Review Flow and click ‘Save’ and ‘Back’.
- Once a Review Type has been created, you can use ‘Select’ to navigate into it:
The controls available in review types are:
| Control | Description |
|---|---|
| Settings | to add/edit configuration settings for this Review Type. |
| Edit | to change the name, description, or Review Flow of the Review Type, or to enable/disable the Review Type. |
| Delete | to delete the Review Type. |
| Add New | create a sub-type. |
| Back | navigate back up the tree. |
2. Enabling/Disabling Review Types
A Review Type can be enabled/disabled as required by the System or Workgroup Administrator.
- Use the workgroup management screen to select the workgroup where the Review Type is assigned.
- Click the ‘Review Types’ link at the bottom of the workgroup management screen. This shows a list of all currently defined Review Types.
- Use the ‘Select’ link to navigate into the Review Type and select the ‘Edit’ link.
- The Review Type can now be enabled or disabled using the checkbox.
3. Review Type Templates
There is one specific configuration setting which is only available for Review Types, which is the ‘Review template’ setting (in the ‘Advanced’ category). This allows you to specify a template used for reviews created of that type.
The Review templates setting can be used to pre-populate review parameters, including template type (single phase or multi-phase), defining specific participants and their review role, defining shared distribution lists, and customizing which emails are sent.
Note: The Review templates setting uses XML and is pasted into the settings screen multi-line text box.
