How to Configure Workgroup Settings

Workgroup settings in Please Review allow administrators to define specific parameters for document reviews, such as review deadlines, access permissions, and participant roles. These customisable settings ensure tailored review processes that align with an organisation's requirements and workflows.
Workgroup Settings
Most configuration settings in Please Review can be overridden on a per- workgroup basis. If a setting is not present in the current workgroup, it will be inherited from the parent workgroup and so on up to root. The configuration settings screen is the same whichever workgroup you are looking at but, in practice, the root workgroup will appear very different. This is because when the system is installed, every setting is created on the root workgroup whereas for other workgroups, they are created with no settings on.
The following screenshot shows the configuration settings screen for the Root workgroup:
Note: Settings are grouped into several categories to make them easier to locate, but you can also
use the browser ‘find’ feature to scroll the page to locate a specific setting.
- To edit a setting, click ‘edit’ next to it which will show a screen something like this:
- For some settings, the value will be a drop-down box; for others it may be a text box or a multi-line text area.
- If ‘allow override’ is checked, it means that sub-workgroups will be allowed to override this setting value, otherwise they are forced to inherit this setting.
For workgroups other than root, you will typically see no configuration settings at all (i.e. they all inherit from the root):
- Click the ‘add’ button to add a configuration setting (i.e. to override the parent setting). This will show the following screen:
- Select the category from the top drop-down list, then the name of the setting you wish to create.
- Then click enter or select the value and set ‘allow override’ as discussed above.
- After clicking ‘back’, the list of settings will be updated to include the one you have added:
- To remove a setting click ‘delete’ (the value will be inherited from the parent once again). Note that settings in the root workgroup can never be deleted.
Important: You should exercise caution when overriding settings because the system could cause unexpected consequences if changes are made carelessly.
- If you change the list of comment categories while reviews are ongoing, then old comments in the review will use the previous set of categories but newly made comments will use the new set of categories. This may cause problems when editing existing comments.
- If a child workgroup has a specific setting overridden and then the parent setting is updated to set ‘allow override = off’, this will not automatically remove the overridden setting already present on the child workgroup.
