How to Clone a Review

Review Cloning is available only to those with author permissions.
Cloning a review allows users to clone the settings, participants, and documents from an already existing review into a new review quickly and efficiently. This article will go through the simple steps to cloning different document types.

Cloning a Review
To be able to perform a clone review the user must be an author or have a role which has author capability such as an author-contributor or an author-admin.
- When logged into Please Review with a user that has Author capabilities, select the review that you wish to clone and open the Control Panel.
- In the Control Panel, click the button for Clone as a new Review:
- Once you have clicked the Clone As New Review button you will be prompted with a message asking if you are sure you want to clone the review.
- Click OK to proceed.
- This will then take you to the normal review setup page but will display auto-populated information like the original review, such as a prefixed title starting as Clone Of and then the original review name. The description will be the same as the original review.
- The cloned review will be set to Standard, and the end date will always default to the day after creation.
- You can change the workgroup that you want the review by selecting the Move to Taskgroup button. This will allow you to select from a drop down of workgroups you are in.
- After cloning the document, the participants, review, email, and sub teams options will remain the same as the original review except the ownership of the review which will be transferred to the user cloning the review.
- Any imported comments or deleted users will not be cloned to the new review.
Cloned Review Documents
- When cloning a word document, any comments from the previous review will not appear in the new review. Even accepted or imported comments.
- Only changes from accepted proposed changes will appear in the cloned document, without any associated comments.
- If a document has been uploaded during the clone review process, with any native comments or changes, this will show within the new cloned review.
Zones in a Cloned Review
- For Zones in a Word review, if the zone is hidden for a participant they will be excluded from cloning.
- Zones will be cloned with the same review and edit-in-word permission. The zone status will always be set to Not started.
- In a concurrent situation, the system will clone and publish the zone, then the system will clone to what is available.
Cloned PDF Reviews
Cloned PDF documents will not include any annotations within the new review (closed or accepted). Only accepted redactions will be kept in the new cloned review.
Important Note: Other documents that are cloned will not clone any closed or accepted comments.

Documents that are still in preparation will not be able to be cloned into a new review. Reviews that are in the recycle bin or have been deleted cannot be cloned.
