Closing a review
Who is this article for?
Users who want to learn to close a review.
Review authors can close and complete reviews.
The final step in reviewing is closing the review. This article explains how to complete and close a review easily. Closing your review integrates it into the feedback loop, improving document quality and collaboration.
1. Closing and completing a review
A Review Owner can close and complete a review via the Review Closeout screen, accessed from the Review Control Panel. This screen offers two links: Close Review and Complete Review.
- The closeout options for a multi-phase review are available on a phase-by-phase basis.
2. Closing a review
Closing the review will:
- Prevent Reviewers from making further comments on the review (read-only).
- Allows the Owner and Author(s) to make comments and changes and Accept and Close comments and changes.
Selecting the Close Review link will deliver the following action options:
| Action | Description |
|---|---|
| Send Reconciliation Emails | Sends an email to each participant advising them that the review is closed to further comment and provides them with a link to the reconciliation report. This should be sent once the Author/Owner has completed accepting and closing comments. |
| Complete Review | See Completing a Review. |
| Re-open Review |
Re-opens the review.
|
3. Completing a review
Completing the review will:
- Make the review read-only for everyone.
- Change the status from Active, which matters if your organisation uses an Active user model. The review will no longer be Active.
Clicking the Complete Review link will show these action options:
| Action | Description |
|---|---|
| Send Reconciliation Emails | Sends an email to each participant advising them that the review is closed to further comment and provides them with a link to the reconciliation report. This should be sent once the Author/Owner has completed accepting and closing comments. |
| Re-open Review |
Re-opens the review.
|
4. Auto complete a review
If enabled in system settings, Auto Complete will automatically mark overdue reviews as complete after a set number of days without activity (e.g., comments, changes, or accept/close).
This applies only to overdue reviews, with inactivity duration defined in system settings.
When a review is auto completed, the Review Owner receives an email notification.
5. Notifications on closed reviews
Notifications for review updates depend on the user's status when leaving a review. Users set to "Inform" receive notifications only for the first update since their last visit; further updates won't notify them unless they revisit.
Once a review is closed, only Authors and Owners can update it. However, all users, including reviewers, still receive notifications for updates to closed reviews, regardless of their ability to edit.
