How to Review a Template

Review Authors can create view and use review templates.
It is important to keep templates up-to-date and relevant. The easiest way to do this is to review them in the same way you would perform a document review.
This following article will detail how to review a template and any essential information surrounding review templates. To make this easier to follow, the article is split into the following sections:
1. Reviewing a Template
The owner can propose changes and make comments against the documents in the template. Much like the ‘Clone Review’ feature, no open comments or proposed changes will be carried from the original template to the new review. Similarly, any Zones created in the template will only carry over published content.
The template owner can create zones in the template document to be carried into the reviews created with the template. The author can hide certain sections from other authors. This can be used to restrict the number of documents available in the template by adding certain authors to hidden zones. If an author is named in a hidden zone in a document that is part of a template, then that document won’t be available when they create a new review with the template.
Note:
• In Word Review Templates, only Accepted Proposed Changes will carry into the review
• In PDF Review Templates, only Accepted Redactions will carry into the review
2. Template Control Panel
The template control panel is like the review control panel with a couple of key differences.
- To access the control panel, you need to access the ‘Templates’ section of the homepage and then use the ‘Select’ link under the ‘Details’ column:
- You should then be presented with the ‘Template Control Panel’ screen for the template you’ve chosen.
- When you’re satisfied with the template setup you can share it for use by others. To do this you need to select ‘Edit Details’ from the ‘Template Control Panel’ and then use the ‘Edit’ button in the ‘Template Details’ section:
The main difference in the template control panel is the options given. As is highlighted above we have the options to:

| Edit Details | This will bring up a screen like the ‘Edit Details’ section of a review control panel |
| Delete Template | This will delete the template and place it in a state where it can be restored or purged from the ‘Edit Template Details’ screen |
| Create a New Review | This will use the template to create a new review, running through the standard review setup to allow the configuration to be tweaked |
- Ensure the ‘Shared’ checkbox is ticked and hit ‘OK’ to save the change.
3. Important Information
It's important to be aware of template feature changes:
- ‘Sysadmin Enter Any Review’ - This setting now extends to templates as well as reviews,
- ‘Create Review only in Taskgroups’ - If using this setting then it is important to ensure templates are created in the appropriate task group.
- After a template is created it isn’t yet possible to change the workgroup/task group.
- A template will not consume a license, reviews created from a template will use a license as standard.
- If a user is disabled and has private templates, then these will not be manageable by other users. It would be good practice to delete or transfer the template owner before the user is disabled.
